Before Refreshing Rooms, Start By Building a Campus AV Standard

For many higher education AV teams, the technology refresh cycle never really ends.

A group of classrooms reaches end of life just as another building receives funding. A faculty request introduces a new device or platform. A temporary hybrid-learning solution becomes permanent. This is the point solution trap. Before long, the campus is supporting several generations of technology and multiple versions of what is supposed to be the same classroom experience.

This is often described as modernization. In practice, it becomes accumulation.

The answer is to move from room-by-room replacement toward a flexible AV standard that delivers consistency where it matters and variation where teaching requires it.

Standardize the Experience

Campuses contain lecture halls, laboratories, content studios and collaboration areas. Deploying the same equipment everywhere would be impractical.

However, faculty should not need to relearn the room every time they teach.

A campus AV standard should therefore begin with the experience. Instructors should encounter familiar workflows for starting a session, sharing content, selecting views and capturing a lesson. Students should be able to see and hear clearly whether they are in the room, joining remotely or reviewing material later. AV and IT teams should have a predictable way to monitor, update and troubleshoot the underlying technology.

Consistency reduces cognitive load for faculty and operational strain for support teams. Standardized interfaces can also help reduce helpdesk ticket volumes and start-of-class delays by giving instructors familiar controls from room to room. Training becomes more useful when guidance transfers between spaces.

Plan Around Learning Scenarios

A standard should not begin with a preferred equipment list, but with the learning scenarios the institution intends to support.

Today’s campus may need to support in-person instruction, remote courses, hybrid classes, overflow participation, prepared content, lecture review and immersive learning. Not every room must support all of them.

AV leaders can use these scenarios as a gap analysis. Where are faculty improvising? Which capabilities are essential across campus, and which belong only in specialized spaces?

This helps teams avoid overbuilding some rooms while leaving common spaces underserved. It also creates a stronger rationale for investment than age alone.

Treat Interoperability as an Operational Requirement AVIXA and Logitech research found that interoperability problems across systems are among the top three challenges facing higher education institutions. The same research found that 77% of faculty experience hardware malfunctions, while 66% experience videoconferencing failures.

In a fragmented environment, diagnosing a failure can take longer than resolving it. The camera, conferencing platform and room computer may each work while the full workflow does not. Every additional component creates another potential break point.

An effective standard should prioritize solutions that integrate with the institution’s existing operating systems, conferencing platforms and lecture capture environment. It should minimize unnecessary components and allow technology to be upgraded in phases without destabilizing the rest of the room.

Break the Endless Refresh Cycle

A campus AV standard will make room refreshes more intentional.

Different rooms can still receive technology appropriate to their purpose, but they remain part of one manageable ecosystem. The most successful standard is not the one with the longest equipment list, it is the one that gives faculty confidence, students a reliable learning experience and AV teams a sustainable way to support the campus.

Higher education has accumulated enough technology. The priority should be making it work as one system.
